AI Workflow Implementation

AI Workflow Implementation for Small Business

We build one workflow properly: the repetitive process your team currently does by hand, connected to the systems you already use, tested on your real examples, and handed over with documentation.

Business process automation sits inside this service. If a process repeats and has rules, it can usually be automated. Where AI genuinely helps, it is used. Where ordinary automation does the job, that is what gets built.

What this service is

A scoped build of one working workflow. Not a pilot, not a prototype that gets abandoned: the process your team uses every day, automated end to end and supported afterwards.

Most engagements start after an audit, because the audit is what tells us which process is worth automating first. If you already know exactly what you want built, we can scope it directly, but we will still map it before quoting.

Pricing is a fixed scope agreed in writing after assessment. There is no hourly meter running and no open-ended discovery billing.

Who it is for

  • Small teams doing high volumes of repeat admin
  • Businesses running on spreadsheets and email between systems
  • Companies whose tools do not talk to each other
  • Operations where a missed follow-up costs money
  • Anyone who has tried a DIY automation tool and given up

Who it is not for

  • Work that is genuinely different every single time
  • Businesses without a repeatable process to automate
  • Anyone wanting a finished system without discovery
  • Anyone wanting a guarantee of hours saved before we have looked

Workflows that suit this service

The pattern matters more than the industry. If the work repeats, has clear rules, and passes through more than one system or inbox, it is usually a candidate.

What TechMedia delivers

A working workflow

Built, connected and running in your actual systems, not a demo environment.

Integration

Connected to the tools you already pay for, so nobody has to change how they work.

Testing on real examples

Run against your own documents, enquiries and edge cases before it goes live.

Documentation

Written so that a new staff member can follow it, and so another technician could maintain it.

Training

A session with the people who will use it, including what to do when something looks wrong.

Handover

You own the outcome and the accounts. No black box you cannot leave.

How the implementation works

01

Discovery

What the process is, who runs it, how often, and what happens when it goes wrong.

02

Workflow mapping

The steps drawn out, including exceptions, because exceptions are where automations fail.

03

Design

What gets automated, what stays manual, and where a person approves.

04

Build

The workflow itself, built in a test environment first.

05

Integration

Connected to your email, CRM, accounting, storage or scheduling tools.

06

Testing

Your real examples, plus the awkward cases, before anything touches live data.

07

Deployment

Switched on with a rollback plan and a person watching the first runs.

08

Training

Your team shown how it works and what to do when it does not.

09

Support

Optional ongoing support, scoped separately so nobody pays for what they do not need.

What is included

  • A written scope and fixed price before work starts
  • One workflow, built and integrated
  • Testing against your own data
  • Documentation and a training session
  • A defined handover, with accounts in your name

What is not included

  • Additional workflows, scoped and priced separately
  • New software licences or third-party API charges
  • Hardware, networking or general IT support
  • Ongoing changes after handover, unless support is agreed
  • Rebuilding a process that should simply be simplified

After launch

An automation is only finished when it has run in production for a while. The first weeks are watched, adjustments are made, and anything that misbehaves is corrected within the agreed support arrangement.

Ongoing support is optional and quoted separately. It covers health checks, small adjustments, provider or API changes, and troubleshooting. It does not cover new workflows or major redesigns, which are quoted as new work.

Not sure what to automate first?

That is what the audit is for. We look at how work moves through your business and tell you where automation is worth building, in plain English, before you commit to a build.
